1. Who we are

Acotiza LLC (“Acotiza,” “we,” “us,” or “our”) is a digital solutions company based in Miami, Florida. We design and develop custom websites, business web applications, and software products such as CMS, CRM, POS, ERP, eCommerce, appointment management (including Acotiza Citas), inventory/WMS solutions, and related digital services. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit acotiza.com, contact us, or use our products and services.

2. Scope

This Policy applies to our marketing website, contact forms, communications, and customer/account interactions related to Acotiza products and professional services. Product-specific platforms (for example POS, CRM, ERP, or Citas) may have additional notices or agreements that apply to data processed on behalf of business customers. Where we act as a service provider/processor for a client’s end users, that client’s privacy practices also apply.

3. Information we collect

We may collect: (a) contact details you submit (name, email, phone, company, message, and project interest) through our contact forms or email; (b) account and billing information needed to provide subscribed products or services; (c) technical data such as IP address, browser type, device information, pages visited, and approximate location derived from IP; and (d) communications you send us by phone, WhatsApp, email, or social channels.

If you use our SaaS products, we may process business data you or your authorized users upload (for example customers, appointments, inventory, sales, or invoices). That content is processed to provide the service and remains subject to your account agreement and applicable law.

4. How we use information

We use personal information to: respond to inquiries and provide proposals; deliver, maintain, and improve our websites, products, and services; authenticate users and secure accounts; process payments and manage subscriptions where applicable; send service-related notices; analyze site performance and usage (including Google Analytics); prevent fraud and abuse; and comply with legal obligations.

5. Cookies and analytics

Our website uses cookies and similar technologies for essential functionality, preferences (such as language), and analytics. We use Google Analytics to understand how visitors use the site. You can control cookies through your browser settings. Disabling certain cookies may affect site features.

6. How we share information

We do not sell your personal information. We may share information with trusted service providers who help us operate our business (hosting, email delivery, analytics, payment processors, and support tools), only as needed and under appropriate safeguards. We may also disclose information if required by law, to protect rights and safety, or in connection with a corporate transaction (merger, acquisition, or asset sale).

7. Data retention

We retain personal information only as long as needed for the purposes described in this Policy, to provide services, resolve disputes, enforce agreements, and meet legal, tax, and accounting requirements. Retention periods vary by data type and product.

8. Security

We implement reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

9. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or restrict certain personal information, or to object to certain processing. To exercise a request, contact us at info@acotiza.com. We may need to verify your identity before responding. If you are an end user of a client who uses Acotiza products, please contact that organization first, as they control much of the data in their account.

10. Children’s privacy

Our website and business services are directed to businesses and adults. We do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe we have collected such information, contact us and we will take appropriate steps to delete it.
